Challenge

The hydroelectricity producer had two separated in-house systems to manage travel, one for charter bookings and one for commercial bookings. Those systems were not integrated with the camp management system. The client was struggling with the following:

  • Lack of consistent reporting across the systems
  • No integration between the systems
  • Lack of efficient communication between teams using different systems
  • No automation
  • Technological obsolescence, coupled with the challenges of maintaining internal systems and the associated high costs.

One end-to-end platform

The full Nomadis suite (travel management, workforce logistics, accommodation, charter aviation, commercial flights) with automation of workflows and company travel policies was implemented.

Charter flights booking was optimized with automated scheduling. Additional value was provided to the client with advanced IROPS Management and Departure Control features.

The commercial flights booking process was streamlined and integrated with the client’s travel agency. Travel requests can now be generated by workers directly in Nomadis and accessed by the travel agency.

Development of a cloud solution designated for the travel agency to submit proposals to the workers (including travel, hotels and car reservations) for requested trips.

All systems were integrated within the same platform, streamlining usage for all users and supporting itineraries including both charter and commercial flights, with a single source of truth.

In-platform fee tracking and reconciliation of expenses including tickets, agency services, baggage, seat selections and more.

Outcomes

Communication and centralized process

  • Better user experience, thanks to commercial and charter flight bookings all available on a single platform.
  • Booking process and reporting all within the same end-to-end platform. Enabling efficiency and better services across the entire company by providing self-service functionalities to users.
  • Ability for the different teams to cooperate.

Easier cooperation with travel agency

  • Integration with the travel to receive only commercial booking requests from the system.
  • Ability to submit multiple options for the workers, which can be reviewed for acceptance or refusal.
  • Better cost tracking and reconciliation of bookings fulfilled by the agency.
